Onboarding Procedure
The onboarding process at Remote Staffing follows a systematic approach to ensure the security and confidentiality of both our clients’ data and our employees’ information. Here’s an overview of our process:
Company Email and Internal Communication:
Upon joining Remote Staffing, employees are provided with a company email account and added to our internal communication systems to facilitate seamless collaboration and information sharing within the organization.
NDA Form:
Prior to commencing work, employees are required to sign a Non-Disclosure Agreement (NDA) to safeguard the confidentiality of our clients’ sensitive information.
Document Submission:
Employees are then requested to provide all necessary documents to verify their experience, citizenship status, and medical clearance, ensuring compliance with legal and regulatory requirements.
Training on Policies and Procedures:
Once documents are verified, employees undergo comprehensive training on our policies and procedures, including our Privacy Policy, Access Controls, Incident Reporting, and Data Retention Policy.
Background and Medical Checks:
Background checks and medical screenings are conducted to ensure the suitability and reliability of employees for their assigned roles.
Provision of Company Laptop:
Upon successful completion of checks and training, employees are provided with a company-owned and locked laptop. Access to certain software applications such as TeamViewer, Microsoft Teams, and Google Workspace is provided with restricted permissions.
Data Management:
Client data is securely stored in the client’s Google Workspace, and access is granted to employees via permissions within the Google Workspace platform. This ensures that employees can access necessary information while maintaining data security and confidentiality.
Monitoring and Supervision:
To ensure compliance with security protocols and client requirements, employees are monitored via web meeting links during their work sessions. Additionally, our employees in Australia work on laptops located within the country, further enhancing data security measures.
Offboarding Procedure
When an employee decides to depart from Remote Staffing, a series of procedural steps are implemented to ensure a smooth transition and maintain security protocols. These steps include:
1. Revocation of the employee’s access to our internal communication systems.
2. Coordination with the client to revoke the employee’s access to Google Workspace and TeamViewer accounts, ensuring data security and confidentiality.
3. Deactivation of the employee’s company email account to prevent unauthorized access to company information.
4. Retrieval of any company-owned equipment that may be in the employee’s possession, ensuring proper asset management and security.
5. Reinforcement of the employee’s obligations under our policies and procedures, including confidentiality and non-disclosure agreements, to uphold professional standards even after their departure.
By adhering to these procedures, we uphold our commitment to safeguarding sensitive information and maintaining the integrity of our operations, both during the employment tenure and upon departure.
